AAMT Compliant Quality Plan

Each client’s account and workload will be assigned to a group of three to five transcriptionists headed by a team leader, with an average of two to three transcriptionists assigned to each dictating physician. This organizational practice will maximize quality and efficiency by allowing transcriptionists to become familiar with the style, content, and expressions of different physicians. The team leaders will maintain a feedback system to identify and quickly rectify any issues as they arise.

To increase quality and to shorten both ramp up time and turnaround times, the team leaders will continually monitor the performance of the transcriptionists, editors, sub editors, and QA representatives on their team and decide QC review requirements for each team member.

As an added quality control, a minimum 10% of all transcription work will go through 100% QC inspection for each team member regardless of their proficiency level.

At Katwa, transcribed documents are processed through three levels, with a final level available where a re check is necessary by a senior QA.

  • QA Level I – MTs with a minimum two to three years of experience with various accounts and specialties. These transcriptionists will be continually monitored and, based on their track record, the appropriate level of quality check will be determined.
  • QA Level II – MTs with a minimum three years of experience with various accounts and specialties. These transcriptionists first review the voice files completely to verify that the transcription matches the dictation and then check the content for medical accuracy.
  • QA Level III – MTs with a minimum five to seven years of experience with various accounts and specialties. These transcriptionists proof the complete document for language, grammar, and spelling and also check formatting.

Every effort is made to see that quality is maintained throughout the transcription and proofing process. Our approach ensures that all completed documents conform to AAMT quality standards.

Additional Services
As an additional option, we provide archive services. Voice files and transcription documents can be archived in a database where clients can retrieve them using powerful search and query methods provided in our web platform.

Interface with Hospital System / External Systems
We ensure that our transcribed documents can be uploaded to your system. We can deliver final documents in any of the following ways:

  • Generate output files following your specifications
  • Create custom interface programs to access your system and upload the documents
  • Extract information from, or upload data to, other systems (if specifications are provided and access to these systems are granted)
